Job Purpose:
Under the direct supervision of the HR and Admin Manager, the Administration Coordinator coordinates and oversees day to day Administration activities of the organization, overall management of organization assets and equipment, fleet management, and property and facilities, utilities and travel at the Head office and field offices.
Duties and Responsibilities:
• Responsible for the administrative services for the entire organization
• Develop and maintain database for all suppliers of administration department
• Ensure that lease agreements are up to date for all PSI Tanzania offices country wide and properly kept in a data base.
• Responsible for Management of stationary and utilities expenditures at the head office and field offices.
• Ensure PSI Tanzania complies with expatriate housing policy
• Facilitate house search to all new expatriate employees in the country
• Ensure that all utility bills are paid timely including monthly updates and payments of staff air time.
• Ensure proper management of the security company that provides services at PSI Offices.
• Work with procurement department to procure new service and or renewal of service agreements
• Prepare maintenance schedule and ensure its implementation
• Conduct a due diligence process by review spare parts quotes and advise the management
• Assist on planning and controlling the daily movement of Vehicles using PSI available tools
• Assist on drawing training program for new and old drivers in view of performance improvement.
• Ensuring that all Vehicles are running within stipulated Government Regulations such as, Insurance Cover etc.
• Ensure offices, warehouse, Funitures, Vehicles and other property and asset acquisition to meet the needs and requirements and also disposal of all not needed and deteriorated assets or properties.
• Manage Head office and field office inventory by maintaining updated information in collaboration with ROMs for Regional offices and propose disposal where necessary.
• Ensure high standards of cleanliness and maintenance of office and warehouse surrounding environment
• Ensure that all PSI properties are correctly valued , insured and premium paid accordingly
• Responsible for follow up of all TRA tax exemption and ensure exemption certificate is in place
• Work with finance and procurement department to ensure clearance of PSI goods whenever needed
Academic and Professional Qualification
• Bachelor degree in Administration, HR or Logistics
• 4 years’ experience in administration duties
• Excellent interpersonal and communication skills
• Experience of managing a team
• Experience in fleet management will be an added advantage.
• Excellent oral and written communication skills in both English and Swahili
• Ability to work efficiently and quickly in a fast paced environment
Zonal Monitoring and Evaluation Coordinator- Dodoma
Job Purpose: Responsible for the implementation of the Annual Monitoring and Evaluation plan in the respective PSI Tanzania zone. The position holder will ensure data collection tools are available in all sites; and supervise data entry to be done on time. The position also requires data collected and entered into PSI Tanzania databases is of high quality. Importantly, is to inculcate the culture of data use for decision making at zonal level.
Duties and Responsibilities:
Implementation of the M & E annual plan
• In collaboration with M&E Coordinator at Headquarters, the position requires to ensure implementation of the M&E activities are carried out on time as stipulated in the annual plan
• Provide feedback to the Head of zone and other staff at the monthly meetings on program progress in their respective zones
Support implementation of the PSI data use strategy at zone level
• Conduct various data analysis to inform head of zone on which decision to take as evidenced by data
• Perform monitoring visits to sub-grantees for verification and clarification of the submitted data
Conduct data quality assessment at zone level
• Conduct data quality assessment (DQA) for the data reported at HQ to identify gaps and improvement areas
• Develop training plans and budget to support rolling out of PSI MIS to its partners.
• Provide M&E support to other zonal staff in case of trouble shooting for MIS system
Ensure timely data entry for all programs into DHIS2 and other databases
• Supervise implementation of the PSI Tanzania SOPs related to research and data management.
• Supervize data entry into respective databases of all monitoring data; and as well ensure active participation on PSI research related activities within his/her zone
Provide relevant data during zone program review meetings
• Using information from databases provide feedback to zone staff omn progress of programs at respective zones in relation to set targets
Support data collection staff to resolve technological issues
• Supervise data collection at zone level conducted as per SOPs
• Provide technical support during data collection and transmission using mobile phones
Academic and Professional Qualification:
• First Degree in Statistics, Sociology, Public health, Demography or any related discipline
• Exposure to mobile and online data entry is essential
• Monitoring and evaluation techniques and processes
• Data collection and management knowledge
• Analytical and research skills
• Good command over report writing in English Relevant working experience:
• 3-5 years’ experience in M&E.
