Project Administrator – Dar es salaam – Ifakara Health Institute

INSTITUTE OVERVIEW
Ifakara Health Institute (IHI) is a Tanzania based non-governmental Institute with a mission of
developing and sustaining Health Research and Resource Institute capable of generating new
knowledge and relevant information for public health policy and action. IHI is one of the leading
research outfits in Africa maintaining collaboration with several other research Institutes in the world.

DUTIES AND RESPONSIBILITIES:
General
• Assist with administrative tasks.
• Participate in the development of the Environmental Health and Ecological Sciences (EHES) thematic group.
Specific

• Organize the local and overseas purchase, delivery and storage of laboratory and field equipment at the Bagamoyo site in collaboration with procurement and other administrative staff in Dar es Salaam.
• Assist scientific staff in maintaining project documentation in line with Good Clinical Practice (GCP).
• Provide secretarial and clerical support including typing, data entry, drafting letters, sorting correspondence, sending samples overseas, making appointments, taking minutes, organizing visas, work permits, organizing travel.
• Assisting in the drafting, submission and certification of ethical approval and other research permits.
• Maintain the filing systems for all administrative documents.
• Maintain the confidentiality of all documentation and verbal discussions at all times.
• Ensure adequate stocks of stationery for routine administrative use.
• Ensure adequate stocks of equipment for field work and in sectary maintenance for routine use.
• Asset maintenance.
• Manage the transport requirements of all staff within the group.
• Assists in smooth operation of field activities whenever in need.
• Organize and update weekly timetables that detail the whereabouts of all staff within the unit and cars.
• Assist in maintaining accounts and preparing retirements and expenses claims.
• Maintain management information systems (manual or computerised)
• Maintain budgetary and inventory controls and make recommendations to management
• Receive and counter check of invoices of monthly car hiring, space charges and daily meeting room hiring.
• Undertake all work strictly following the rules and regulations as laid down in the IHI administration manual.
• Perform all other duties as may be assigned by senior staff within the unit, within the remit of the post.
• Translate documents from English into Kiswahili.
• Promote employee relations and team work building as well as create motivation for all employees at project level.
• Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS AND EXPERIENCE.
• University Degree or equivalent in Public administration, Human resources, Sociology or any other related field.
• Minimum of 3 years relevant experience in the field

KNOWLEDGE, SKILLS AND ABILITIES:
• Microsoft office
• English (Written and spoken)
• Good organization skills
